Refund & Cancelation Policy

Ecomx Agency provides digital services that are custom-built, strategy-driven, and non-tangible in nature. Due to the time-intensive and intellectual investment required in every project, all sales are considered final once work has commenced, subject to the conditions below.


General Refund Policy

Refunds are not guaranteed and are only considered under exceptional circumstances, strictly at the discretion of Ecomx Agency.

We operate under a work-based billing model, which means that if any portion of the service has been started or delivered, refunds will be calculated based on the percentage of work completed at the time of cancellation.

Example: If 25% of the project is completed, and the client requests cancellation, only the remaining 75% may be eligible for partial refund (minus administrative and onboarding fees).


Refund Eligibility Conditions

A refund may be considered only under the following limited conditions:

1. No Work Initiated

If a client cancels before any work begins, a full refund may be issued minus a 10% processing and consultation fee.

2. Partial Work Completed

If work has already started but is not yet fully delivered, the client will be charged proportionally based on the work completed up to that point.

  • 0–25% completed – 25% fee applies
  • 26–50% completed – 50% fee applies
  • 51–75% completed – 75% fee applies
  • 76–100% completedNo refund available

A detailed breakdown of progress will be shared upon request.

3. Fully Completed Projects

Once a project is fully completed or marked as “delivered,” no refunds will be issued under any circumstances.


Non-Refundable Services

We do not offer refunds for:

  • Services already launched, published, or made publicly accessible
  • Work delivered after final approval
  • Digital strategy and consulting sessions
  • Branding, graphic design, or logo creation once concepts have been presented
  • SEO, marketing, or social media campaigns once started
  • Training, coaching, or screen-sharing sessions (regardless of attendance)
  • Time-based or hourly service blocks, whether used partially or not

Cancellations

All cancellation requests must be submitted in writing to hello@ecomxagency.com.

  • Pre-work cancellations: Full or partial refund may apply (as stated above).
  • Mid-project cancellations: Refund will be calculated based on completed work.
  • Post-completion: No cancellations or refunds will be granted.

If the client becomes unresponsive or delays the project for more than 30 days, the project will be marked “abandoned,” and no refunds will be issued.


Client Cooperation Clause

Refunds will not be granted if:

  • The client fails to provide required content, access, or approvals.
  • Deadlines are missed due to client-side delays.
  • The client denies reasonable revision or resolution efforts.
  • Feedback is vague or contradictory.

We reserve the right to request admin access or credentials to resolve any technical or design-related issues. Refusal to cooperate may void refund eligibility.


Project Compatibility and Expectations

We guarantee compatibility only with tools and platforms explicitly stated in the project scope. Refunds will not be issued due to issues related to:

  • Third-party platform conflicts
  • Client-hosted environments
  • Subjective dissatisfaction not supported by scope mismatch

Refund Request Process

To initiate a refund request, email us at hello@ecomxagency.com within 30 calendar days of your original transaction.

Include the following:

  • Full name and contact details
  • Project or invoice number
  • Clear reason for the request
  • Supporting evidence (if applicable)

All refund requests will be reviewed within 5–7 business days. If approved, the refund will be processed within 10–14 business days, minus any applicable fees.


Final Note

We’re committed to your satisfaction and always aim to resolve concerns professionally. That said, we also reserve the right to protect our agency’s time, labor, and intellectual work from misuse.
